Privacy Notice

This notice explains how Printspire ("we", "us", "our"), the operator of PrintWorkMonitor, handles personal data. For the account data of our own customers, Printspire acts as the data controller. Where you upload details of your own customers and employees into your workspace, you are the controller of that data and we process it on your behalf as a processor.
1. Personal data we collect
- Account and identity data — name, business name, email address, phone number, country and login credentials.
- Workspace content — the customer records, quotations, invoices, job sheets, supplier and employee records you enter into the platform.
- Support data — messages and attachments you send us.
- Technical and usage data — IP address, device and browser information, session and login records, and product telemetry.
Payment card details are collected and processed by Paddle, our Merchant of Record. We do not receive or store full card numbers.
2. Why we use it and our legal basis
- Creating and administering your account and workspace — performance of our contract with you.
- Providing, maintaining and supporting the Service — performance of our contract.
- Security, abuse and fraud prevention, including login and session logging — legitimate interests.
- Product improvement and aggregated analytics — legitimate interests.
- Service and transactional emails — performance of our contract.
- Marketing emails, where applicable — consent, which you may withdraw at any time.
- Meeting accounting, tax and other legal obligations — legal obligation.
3. Who we share data with
- Merchant of Record — Paddle, for the sale of subscriptions, billing, subscription management, tax compliance and invoicing.
- Service providers and subprocessors — cloud hosting, database and storage providers, email delivery, and error monitoring, engaged to run the platform.
- Professional advisers — legal and accounting advisers where necessary.
- Authorities — where required by law or to protect our legal rights.
We do not sell personal data.
4. International transfers
Our providers may process data outside your country. Where data is transferred out of the UK or EEA, we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses.
5. Retention
We keep account and workspace data for as long as your subscription is active and for a reasonable period afterwards so you can export it or reactivate. Records we must keep for tax and accounting purposes are held for the period required by law. Data that is no longer needed is deleted or anonymised.
6. Your rights
Subject to applicable law, you may request access to your personal data, correction, erasure, restriction of processing, portability, and you may object to processing based on legitimate interests or withdraw consent. Where the UK GDPR or EU GDPR applies, we respond within one month and you may complain to your supervisory authority. To exercise a right, email support@printworkmonitor.com.
7. Security
We apply appropriate technical and organisational measures, including encryption in transit, per-workspace data isolation with row-level access rules, role-based permissions, and audit logging of sensitive actions. No system can be guaranteed completely secure, but we work to protect data against unauthorised access, loss and misuse.
8. Cookies and local storage
We use strictly necessary cookies and browser storage to keep you signed in, remember your theme and workspace preferences, and secure the session. We do not use advertising cookies. You can clear or block cookies in your browser, but the application will not work correctly without the essential ones.
